APPOINTMENT POLICIES, TERMS AND CONDITIONS
BOOKING FEE POLICY-
Booking fees are taken as a prepayment and are strictly non-refundable—no exceptions or goodwill gestures will be made.

The booking fee is NOT a deposit.​

It secures your chosen appointment slot and covers the cost of admin, the service charge, and the allocated time slot.
By booking an appointment, you acknowledge and agree to this policy.

APPOINTMENT AMENDMENTS AND CANCELLATION POLICY - You may amend your booking up to 6 hours before your appointment time. Changes can be made online 24/7 via:

The original confirmation email you received after booking.​

Logging back into the booking system using the contact details you originally provided.
Cancellations will result in the loss of your booking fee.

PUNCTUALITY AND LATE ARRIVAL POLICY - Please ensure that you arrive on time for your appointment and aim to arrive a few minutes early. Our appointments run back to back and are time-limited, meaning that late arrivals may not have enough time for their service to be completed.

If you arrive more than 10 minutes late, your appointment will be cancelled, and your booking fee will be forfeited.

We cannot accommodate clients who are more than 10 minutes late due to our scheduling constraints.

GUEST POLICY - At Jade Alexandra Collective, we operate on a ‘one in, one out’ policy. This means that clients must attend their appointment alone.
​

If you arrive with someone accompanying you, they will be politely asked to wait outside as we cannot accommodate additional guests in our small waiting area.​

The only exception to this policy is for a parent or legal guardian accompanying a minor for their piercing appointment. Read more on age restrictions here.
We appreciate your understanding and cooperation in helping us maintain a comfortable and efficient environment for all clients.​
​
BUILDING ACCESS POLICY - To enter the studio, please press the intercom button at the door and wait for a staff member to grant access.
​
For safety reasons, we kindly ask that clients do not attempt to force the door open. Please be patient while we assist you.
​
CHILDREN AND STUDIO SAFETY POLICY - At Jade Alexandra Collective, we strive to maintain a safe, calm, and professional environment. Due to space limitations and safety concerns, we kindly ask that clients do not bring young children or additional children when accompanying a minor for a piercing appointment.
Our waiting area is small, and a busy studio is not a suitable environment for multiple children.
Children are not permitted in the procedure room and cannot be left unattended in our reception area under any circumstances.
For safety reasons, pushchairs/strollers are not allowed in the studio due to steps at the entrance and the presence of fragile glass display cabinets in reception — no exceptions.

I.D. POLICY - Valid I.D. is always required, regardless of age. We cannot provide piercing services or aesthetic treatments without this. If you arrive without the correct I.D., your appointment will be cancelled and your booking fee retained.
To avoid disappointment, check what you need in advance.

For minors without a passport, a birth certificate may be accepted, provided it matches the details of the consenting parent or legal guardian.

CONSENT FOR MINORS POLICY - For any piercing on a child under 16, only a parent or legal guardian may bring them in and give consent. This is a legal requirement, not just studio policy.
We cannot accept consent from:​

Anyone else who is not the legal guardian
Even with a handwritten note or phone call, we legally cannot proceed with the piercing unless the parent or legal guardian is physically present with valid I.D.
We understand this may be inconvenient, but these rules are in place to ensure the safety of your child and to keep the studio compliant with legal regulations.

JEWELLERY POLICIES, TERMS AND CONDITIONS

JEWELLERY PURCHASE - Jewellery is to be purchased separately on the day of appointment and is not included in the service charge. Our most affordable jewellery starts at £25.00
​
JEWELLERY PURCHASE BREAKDOWN - Due to the nature of professional body jewellery, pieces are designed with interchangeable components to ensure compatibility with different styles and placements. As a result, jewellery is priced per individual component.

1 x Titanium Labret (Post with fixed flat back disk) = £10.00​

1 x 3mm Titanium Ball Attachment = £10.00​

Total = £20.00
This allows clients to mix and match jewellery for a fully customized fit and style.

JEWELLERY STANDARDS AND SAFETY POLICY - At Jade Alexandra Collective, all jewellery used is made from verifiable, high-quality materials that are suitable for human implants.
To ensure we meet the highest health and safety standards, we will never fit or pierce with any jewellery that has been previously worn or sourced outside of the studio. This policy is in place to prioritize your safety and ensure a clean, hygienic procedure.​
JEWELLERY FITTING AND PLACEMENT POLICY - At Jade Alexandra Collective, jewellery fitting and piercing placement are 100% anatomy dependent. We reserve the right to refuse to fit jewellery or perform a piercing if the piercer determines that it is inappropriate, not suited to your individual anatomy, or unlikely to heal well. If this situation arises, the piercer will advise you on the best course of action and often offer alternative options to ensure a safe and successful piercing experience.
RINGS IN FRESH PIERCINGS POLICY - We are frequently asked if we can pierce with a ring, especially small and thin ones. Unfortunately, in most, if not all cases, it is not possible to fit rings for an initial or healing piercing.
For a piercing to heal correctly, it requires suitable jewellery in the correct size and shape to provide stability and support during the healing process.

Petite rings can usually be fitted once the piercing is successfully healed.
​

Certain piercings, such as a “Daith”, may be able to be done with a ring initially, but the ring must be large in gauge and diameter to ensure it is anatomically suitable for proper healing.
We always prioritize your health and healing, so we recommend appropriate jewellery based on your individual anatomy.

JEWELLERY & PIERCING RESPONSIBILTY POLICY
We do not accept responsibility for the loss of jewellery or attachments, jewellery becoming loose or falling out, or piercings healing over. Once a client leaves the studio, it is their responsibility to ensure that jewellery attachments are securely fastened daily. Clients must also refrain from removing their jewellery while the piercing is still healing, as part of their commitment to following proper aftercare advice and protocols.

Jewellery losses or any accidental/deliberate damage are not covered by manufacturers' guarantees.
​
JEWELLERY RETURNS/EXCHANGE POLICY
For health and safety, all Jewellery purchased in studio or online through our online store is strictly non-refundable and non-exchangeable.

JEWELLERY SALES AND QUALITY GUARANTEE POLICY
All jewellery purchased from Jade Alexandra Collective is final sale, meaning that items are non-refundable and non-returnable. Please review the following points regarding our policy and manufacturer warranties:

• Non-Refundable & Non-Returnable:
Once purchased, jewellery cannot be returned or exchanged for a refund. We encourage customers to consider their selection carefully prior to completing their purchase.

• Manufacturer’s Warranty:
Some jewellery items may be covered by a manufacturer’s warranty or guarantee, which typically addresses defects in workmanship or materials. If an item is found to be defective and is covered under the warranty, a replacement may be provided as per the manufacturer’s terms.

• Wear and Tear:
Standard wear and tear, as well as damages resulting from everyday use, accidental damage, or improper handling, are not covered under manufacturer warranties. Customers are advised that the warranty is not intended to cover normal deterioration or damage due to external factors.
By purchasing from us, you acknowledge and agree to these terms regarding non-refundability and non-returnability, as well as the specific conditions under which manufacturer warranties apply.

PRESCRIPTION-ONLY MEDICINES POLICY
(Aesthetic Treatments Only)
Some aesthetic treatments offered at Jade Alexandra Collective involve Prescription-Only Medicines (POMs).
By law, these treatments require:

An assessment by a qualified, independent prescriber

A valid prescription issued specifically for the individual client
We are not legally permitted to:

Prescribe prescription-only medicines
-
Supply prescription-only medicines without a prescriber assessment

Administer POM treatments without a valid prescription in place
How This Process Works

Prescriber clinics are held on specific dates and are announced periodically

Clients must attend a consultation with the prescriber, either in person or via approved remote consultation, where appropriate

If a prescription is issued, the medication is ordered specifically for the client

Once the medication has been received, the treatment appointment can be booked
Issuing a prescription is not guaranteed and is at the sole clinical discretion of the prescriber.

Booking a prescriber consultation does not guarantee treatment

Prescription-only treatments cannot be carried out on the same day unless clinically appropriate and pre-approved
These regulations exist to protect client safety and ensure full legal and medical compliance.

PRESCRIPTION ORDERS & PAYMENT POLICY
(Aesthetic Treatments Only)
For treatments involving Prescription-Only Medicines (POMs), full payment is required before any medication is ordered.
Once a prescription has been issued and the medication ordered on your behalf:

The order is client-specific and cannot be reassigned

The medication cannot be returned to the supplier

No refunds or cancellations are possible under any circumstances
This includes, but is not limited to:

Change of mind

Ineligibility identified after prescribing

Failure to attend treatment

Delay or cancellation of the treatment appointment
Important Information

Prescription medications are ordered only after payment is received

Payment confirms your agreement to proceed with ordering

If a prescription is not issued, no medication will be ordered and no medication charge will apply
Treatment will only be booked once the prescribed product has been received in clinic.
By proceeding with payment for prescription-only medicines, you acknowledge and accept that all orders are final and non-refundable once placed.

TERMS OF SERVICE
PIERCEES BILL OF RIGHTS - Every person being pierced has the right:

To be pierced in a hygienic environment by a clean, conscientious, sober piercer wearing a fresh pair of disposable medical examination gloves.
​

To be pierced with a brand new, completely sterilized single-use needle that is immediately disposed of in a medical Sharps container after use on one piercing.
​
-
To be touched only with freshly sterilized and appropriate implements, properly used and disposed of or re-sterilized (where appropriate) in an autoclave prior to use on anyone else.
​
-
To know that piercing guns are NEVER appropriate and are often dangerous when used on anything — including earlobes.
​
-
To the peace of mind that comes from knowing that their piercer knows and practices the very highest standards of sterilization and hygiene.
​
-
To a have a knowledgeable piercer evaluate and discuss appropriate piercings and jewelry for her/his individual anatomy and lifestyle.
​

To be fully informed of all risks and possible complications involved in his/her piercing choice before making any decisions.
​

To seek and receive a second opinion either from another piercer within the studio or from another studio.
​

To have initial piercings fitted with jewellery of appropriate size, material, design, and construction to best promote healing. Gold-plated, gold-filled or sterling silver jewellery is never appropriate for any new or unhealed piercing.
​

To see pictures, be given a tour of the piercing studio, and to have all questions fully and politely answered before making or following through on any decision.
​

To be fully informed about proper aftercare, both verbally and in writing, and to have continuing access to the piercer for assistance throughout the healing process.
​

To be treated with respect, sensitivity and knowledge regardless of gender, sexual orientation, race, religion, ethnicity, ability, health status or piercing choice.
​

To change her/his mind, halt the procedure and leave at any point if the situation seems uncomfortable or improper.
​
​
AESTHETIC CLIENT BILL OF RIGHTS​ - Every client undergoing an aesthetic treatment at Jade Alexandra Collective has the right:

To receive treatment in a clean, professional, and clinically appropriate environment that meets current health and safety standards.
​

To be assessed and treated only by properly trained, insured, and competent practitioners, working strictly within their professional scope of practice.
​

To receive a full consultation prior to treatment, including assessment of medical history, suitability, contraindications, and realistic treatment outcomes.
​
-
To be fully informed of the nature, purpose, benefits, risks, potential side effects, and limitations of the proposed treatment before giving consent.
​

To know when a treatment involves a Prescription-Only Medicine, and to understand that prescribing decisions are made independently by a qualified prescriber.
​

To understand that results are not guaranteed and that individual outcomes vary based on anatomy, skin quality, lifestyle, healing response, and adherence to aftercare advice.
​

To receive treatment using authentic, medical-grade products and devices, sourced through regulated suppliers and used in accordance with manufacturer and clinical guidelines.
​

To be provided with clear aftercare instructions, both verbal and written, and to have access to post-treatment support where clinically appropriate.
​

To privacy, dignity, and confidentiality of all personal, medical, and treatment-related information, in accordance with data protection and medical record-keeping standards.
​

To ask questions, seek clarification, and receive honest, professional answers without pressure or coercion.
​

To decline or stop treatment at any point prior to or during the procedure if they feel uncomfortable or wish to reconsider.
​

To be treated with respect, sensitivity, and professionalism, regardless of age, gender identity, sexual orientation, race, religion, disability, health status, or aesthetic choice.
​

To be advised honestly if a treatment is not suitable, not in their best interests, or unlikely to deliver a safe or ethical outcome.
CLIENT CODE OF CONDUCT
At Jade Alexandra Collective, we uphold a safe, respectful, and professional environment for both our clients and staff. We have a zero-tolerance policy for offensive, abusive, hateful, or sexually inappropriate language. We reserve the right to refuse service to anyone who is insulting, demeaning, or disrespectful toward our staff.
Additionally, any form of unwanted physical contact toward staff will be reported to the police immediately. Harassment, stalking, or intimidation - whether in person or via social media, will be documented, and we will take appropriate legal action if necessary.
